This privacy policy explains what personal data we process on humhub.com, why, and what rights you have.

What we process

Server log data

Every page request is automatically logged by our web server: IP address, browser type, operating system, referrer URL, page accessed, and date/time of access. This data is necessary for secure website operation and is deleted after 30 days. Legal basis: Art. 6(1)(f) GDPR.

Contact form

When you submit our contact form, we process your first and last name, email address, country and message. If you provide them, we also process your organization, organization size and the topic of your enquiry. Your interface language and the page you submitted the form from are transmitted as well. We use this data solely to handle your enquiry; it is deleted once the matter is resolved, unless statutory retention obligations apply. Legal basis: Art. 6(1)(b)/(f) GDPR.

Demo & registration

When you register for the live demo, we collect your first and last name and email address to send you the access link. You can optionally subscribe to our newsletter via a checkbox. Your interface language and the page you submitted the form from are transmitted as well. Legal basis: Art. 6(1)(b) GDPR for demo access; for the optional newsletter subscription, Art. 6(1)(a) GDPR.

Trial network

When you create your own hosted trial network (the “Your Own Demo” / hosting sign-up), we process the subdomain name you choose and your email address — which becomes the administrator account of the trial network — together with an optional newsletter opt-in. Your interface language and the page you submitted the form from are transmitted as well. Your network is only provisioned after you confirm via a double opt-in link. We use this data to set up and operate your trial. Legal basis: Art. 6(1)(b) GDPR; for the optional newsletter subscription, Art. 6(1)(a) GDPR. The content you and any invited users create inside the trial network is processed on your behalf under our Terms of Service and, where applicable, a separate data processing agreement.

Newsletter

When you subscribe to our newsletter, we store your email address and the date of sign-up; subscription uses a double opt-in (you confirm via a link before you receive anything). Your interface language and the page you signed up from are transmitted as well. Our newsletters contain tracking pixels that allow us to measure open and click rates. You can unsubscribe at any time via the link in any newsletter email or by contacting info@humhub.com — we treat unsubscription as automatic withdrawal of consent. Legal basis: Art. 6(1)(a) GDPR.

Analytics (Matomo)

We use Matomo, an open-source analytics tool running on our own servers in Germany. Matomo collects how visitors use the website (pages visited, time on site, referral source). IP addresses are anonymized before storage; data is deleted after 6 months. Matomo only sets cookies with your consent (cookie banner). Legal basis: Art. 6(1)(a) GDPR (with cookie) or Art. 6(1)(f) GDPR (anonymized, without cookie).

We run advertising via Google Ads. When you reach our website through a Google ad, Google places a conversion cookie (valid 30 days) that allows us to measure campaign effectiveness. Provider: Google LLC, USA, certified under the EU-U.S. Data Privacy Framework (DPF). Privacy info: policies.google.com/privacy. You can opt out of personalized ads at google.com/settings/ads. Legal basis: Art. 6(1)(a) GDPR.

Payments

For invoicing we use Easybill (easybill GmbH, Kaarst, Germany; easybill.de/privacy). Credit card and direct debit payments are processed by Stripe (Stripe Inc., San Francisco, USA, certified under the EU-U.S. DPF; stripe.com/privacy). Only data necessary for contract fulfilment is transmitted; payment records are retained for 10 years in accordance with statutory obligations. Legal basis: Art. 6(1)(b) GDPR.

Your rights

Under the GDPR you have the following rights:

  • Access (Art. 15) — obtain a copy of your stored data
  • Rectification (Art. 16) — correct inaccurate data
  • Erasure (Art. 17) — request deletion of your data
  • Restriction (Art. 18) — limit how your data is processed
  • Data portability (Art. 20) — receive your data in a machine-readable format
  • Objection (Art. 21) — object to processing based on legitimate interests
  • Withdrawal — revoke any consent at any time, without affecting prior processing
